This Notice applies to Plaud Inc. and its affiliated entities and subsidiaries (collectively, “Plaud”).

Thank you for applying for a position at our company. To complete the recruitment process, we will collect and process certain personal information you provide. Please read the following before submitting:

1. Scope of Information Collected

We may collect the following information:

Resume/CV information (such as name, contact details, education/work history, skills, portfolio/projects, country/city of residence, etc.);

l Interview and communication records (including interview evaluations, assessment processes, recordings, test/assignment results, and key points from email/phone/chat communications);

Hiring-related information (such as offer details and compensation/benefits discussions).

Please do not provide sensitive information unrelated to recruitment (see Section 6).

2. Purposes of Collection and Use

The information will be used only for:

Assessing your fit for the role and making hiring decisions;

Communicating with you regarding interviews, hiring decisions, offers, and pre-onboarding preparation;

l To ensure the integrity of the recruitment and assessment process, and to prevent fraud or unauthorized assistance;

Necessary compliance archiving and internal recruitment management.

3. Storage Location and Cross-Border Processing

During different stages of the recruitment process, your personal information may be stored in different systems:

Resume screening and interview stage:

 Your resume, communication records, and interview evaluations will primarily be stored in our systems located in the United States.

Offer and pre-onboarding stage:

 Information necessary for issuing an offer, compensation discussions, and pre-onboarding preparation may be stored in our systems located in China.

Access Note:

Throughout the recruitment process, authorized teams across our global organization may access and process certain parts of your personal information as required by their job responsibilities, strictly within the purposes described in this Notice.

  We apply least-privilege access controls, access auditing, and other necessary security measures to protect your personal information across different systems and regions.

4. Access Roles and Permission Controls

Only personnel necessary for recruitment-related purposes may access your information on a need-to-know basis (such as HR, hiring managers, relevant interviewers, and necessary compliance/compensation personnel). We will protect your information through least-privilege access controls, masking/encryption, and access audits.

5. Retention Period

If you are not hired: your information will generally be retained for 12 months after the recruitment process ends (for future role matching and compliance archiving), and then deleted or anonymized;

If you are hired: information related to onboarding/employment will be transferred to your employee file and retained in accordance with the employee retention rules.

6. Handling of Accidental Submission of Sensitive Information

Please do not submit sensitive information unrelated to recruitment in your resume/attachments. If you provide such information by mistake, we will promptly delete or de-identify it in line with the minimum-necessity principle, and it will not be used for recruitment decisions.

7. Your Data Rights and Contact Details

You have the right to request access to, correction of, or erasure of your personal data, and to exercise other statutory data protection rights in relation to your information. Should you wish to make such a request, please contact our Data Protection Officer via email at: privacy@plaud.ai.
